Investor/Client Responsibility & Requirements

To ensure a productive and results-driven partnership, all clients working with RGL Certified Virtual Assistants agree to the following responsibilities and operational requirements. These commitments help facilitate clear communication, data security, workflow efficiency, and optimized performance in support of your real estate investment business.

Secure Handling of Login Credentials

All login credentials and passwords provided by the client will be stored in a secure, password protected file. Only your assigned RGL Certified Virtual Assistant and authorized support personnel will have access to this information. Access is granted solely for the purpose of executing tasks required to support your real estate operations. If any essential platforms or systems are not yet established, your VA will assist in setting up those tools as part of the onboarding process

DREAMS Solutions Pro AI CRM Access

Clients agree to provide access to the DREAMS Solutions Pro AI CRM, a system already fully integrated into the RGL operations framework. All RGL Certified Virtual Assistants are professionally trained and proficient in using this CRM, allowing for seamless lead management, follow-up processes, and marketing automation—all of which improve overall efficiency and service delivery

Phone System Integration

Clients are expected to provide access to a cloud-based phone system that enables outbound calling, lead tracking, and campaign management.

  • Recommended: SmrtPhone — Fully integrated with the DREAMS platform.
  • Alternative: RingCentral — A user-friendly and widely compatible option.
    This ensures that your VA has the proper tools for marketing outreach, cold calling, and communication.

Shared Google Drive Access

Clients and RGL VAs will use a shared Google Drive folder to organize and manage business documents. This includes contracts, scripts, marketing collateral, training guides, lead sheets, and other key materials.

Social Media Management Access

If social media support is requested, clients must provide login credentials and administrative access for each platform to be managed (e.g., Facebook, LinkedIn, Instagram, BiggerPockets, Craigslist, TikTok). VAs will only access accounts for which permission has been granted, and all credentials will be managed securely.

WhatsApp for Primary Communication

WhatsApp will serve as the primary platform for real-time communication between the client and VA. It allows for instant messaging, voice notes, and calls, which support responsiveness and minimize delays in project execution.

Collaborative Onboarding & Training

Clients agree to actively participate in the onboarding and training process by providing detailed information, platform logins, and guidance to ensure alignment between business goals and VA performance.

Ongoing Communication & Feedback

Clients commit to maintaining open, consistent communication with their VA through regular updates, responses, and feedback. This helps prevent misunderstandings and ensures workflow continuity

Timely Response to Inquiries

Clients agree to respond to VA inquiries and task-related messages promptly to avoid workflow bottlenecks and to support accurate execution of daily responsibilities

Reporting Issues or Concerns

Lead Generation Flexibility (FSBO & More)

Clients will provide broad and realistic criteria for lead generation efforts, particularly for FSBO leads, and share market insights to enable productive searches aligned with investment goals.

Avoid Overly Restrictive Criteria

Clients agree to avoid narrow limitations related to price, property type, or location that may limit the volume or value of incoming leads. A broader scope allows for more opportunities.

Lead Sheet Review & Follow-Up

Clients agree to consistently review lead sheets, offer feedback, and identify action items based on incoming data. This supports accountability and results-driven lead conversion.

Continuous Improvement & Resource Sharing

Clients will proactively share new tools, resources, or insights that may enhance the VA’s effectiveness and help achieve improved results over time.

By signing below, I acknowledge that I have read, understood, and agree to the responsibilities, requirements, and terms outlined in this document. I certify the information I have provided is accurate to the best of my knowledge. I understand that the success of my Virtual Assistant's performance is directly influenced by the clarity of communication, access to necessary systems, and collaboration I provide. I agree to maintain professional and timely communication and to uphold my responsibilities as outlined above.
